Document Submission Guidelines:

It's important to us that we process your items Accurately, Efficiently and in the way you Intended. 
 
Each of the below steps helps to ensure we meet our goals and your expectations. When submitting your documents to us, we kindly ask that you follow our submission guidelines outlined below. 
 

Document Submission Guidelines:

1. Submit all items in a single Tax Folder or E-courier secure email using the link above.

Ensure the page size of your scanned document is 8.5 x 11.

Kindly label the attachments accurately according to the documents included in each pdf. 

2. In the subject line of your submission, please use the following format. For Example: Erin Petaski - 2024 Personal Income Taxes, following the format of, your First and Last name, and the description of what you are submitting. 
 
 If you are submitting in multiple submissions, be sure to label them 1 of 2, and 2 of 2, for example. 


 3. If you have prepared your items using an excel file, kindly ensure to submit your excel files in excel file format (and not pdf's), this is so we can review the contents of the cells.

4. If you are taking pictures be sure to follow these guidelines:

       (i) Ensure your picture captures the whole page, we need to see the whole document, even the parts that might not seem important :) 
 
 

       (ii) Ensure that all the text is in focus, if we cannot read it, we cannot process it
 
 

5. Only submit the specific items we have requested from you. We do our absolute best to keep our fees within your expectations. When we receive extra documents, this increases the time we spend on your file, as well as your final invoice. 
 
If you are not sure if you need to submit an item, we recommend that you check with us first.

Income Tax Submission Guidelines:

When submitting your income tax items to us, we kindly ask that you follow our submission guidelines outlined below:
 
 1. Items to include in your submission:

    A - Income Tax Checklist (with your updates noted)

    B - Supporting Documentation listing (with the items you are including checked off)

    C - Your current year Tax Slips and prior year CRA Notice of Assessment

    D - Additional income tax items:

          o   Charitable Donations Summary with receipts

          o   Medical Expenses Summary with receipts

          o   Dependent Expenses Summary with receipts

          o   Property Tax bill (for eligible seniors)

          o   Any additional personal items to report on your income tax return not mentioned above

    E – Sole Proprietor and/or Rental income items (Please review Sole Proprietor Submission Guidelines for details on how to organize your submission)

You can combine items A, B and C into the same PDF file, please submit D and E items as separate attachments. 

2. For each taxpayer, submit all items in a single Tax Folder or E-courier secure email. The link to submit your items can be found at www.petaski-cpa.ca/secure

The Personal Tax Filing deadline is April 30 of each year, unless you are a sole proprietor, or the spouse of a sole proprietor.

In that case, your return and your spouse's return is due June 15 of each year.

If you owe taxes your income tax payment is still due by April 30.

In order to prepare and file your return on time we require your submission by March 31 of each year.

Sole Proprietors: in order to complete your income tax submission, kindly to follow both the (i) Income Tax Submission Guidelines AND the (ii) Sole Proprietor Submission Guidelines

Sole Proprietor Submission Guidelines:

1. Items to include in your Submission:


  A. Summary of Income and Expenses, including your Net Income figure (we know this is not your final net income value, however this will provide us a starting point to work with and adjust as needed).

Be sure you include totals on all your income and expense categories, in addition to your net income figure.


 B. Bank Reconciliation, including a copy of your December bank statement (if you have a business bank account).

To assist you in preparing your bank reconciliation, we have custom templates you can access within our Sole Proprietor Client Portal. You can sign in by clicking the Log in button in the top right corner of this screen. 


 C. Motor Vehicle expenses, using our Summary worksheet. You can find this worksheet by logging into our Sole Proprietor Client Portal, you can log in by clicking the login button in the top right corner of our webpage. This worksheet also outlines which motor vehicle receipts we need you to submit. 


 D. Business Use of Home Expenses, using our Summary worksheet. You can find this worksheet by logging into our Sole Proprietor Client Portal, you can log in by clicking the login button in the top right corner of our webpage. This worksheet also outlines which home receipts we need you to submit. 


 E. Listing of Assets purchased and/or disposed of during the year, including receipts.


 F. Details of interest from any loans in your personal name that are used for business purposes. Be sure to clarify if this amount is already included in your  net income figure, or if you would like us to include it for you. 

G. For any items that are part business part personal, for example your cell phone and home internet, please include the business/personal percentage, and indicate if you have adjusted your numbers already, or if you would like us to adjust this for you. 

H. Listing of any questions you have, or items you would like us to review for you.

Paper Documents Submission:

We request that all documents be submitted electronically to our office as this is the most cost-efficient manner to process your items.
 
 If you need to submit paper documents, please note that additional processing fees will apply.
 
 Prior to submitting, we kindly ask that you follow these paper document submission tips:
 
 1. Be sure to open all your mail, remove & unfold the papers inside. Kindly do not submit envelopes to us.

2. Organize all your papers into a neat pile and clip them together.

Put your items in the same order as they appear on your listing of documents received from us.

It is helpful to label your items with the number listed on your documents requested letter. 

3. If you are submitting for more than one individual, and/or an individual and a business, or for multiple tax years, be sure to separate these into separate piles, with paper clips or equivalent.

4. Put your papers into a marked envelope and deliver to our Secure Drop Box located outside our office. 
 
We kindly ask that you be sure to only submit the items we have requested. And to ensure you have organized your items prior to submission. 
 
Please note that if you submit unorganized or additional documents, we will need to increase our fees to adjust for the additional processing time that will be required.
